How much does AI workflow work cost for a small business?

The workflow audit is a fixed fee, agreed upfront before we start. Implementation is scoped per engagement — usually a fixed price for a defined list of process replacements, not an hourly retainer. For a 1–20 person business, a first implementation typically comes in well under what a single full-time hire would cost and pays back inside the first year on time recovered alone. We share rough numbers on the discovery call before either of us commits to anything.

What does an AI workflow consultant actually do?

We sit with you, learn how your work really moves, and identify the repetitive processes draining the most time and money. Then we replace those with AI workflows built into the tools you already use, with you involved at every step. We don't sell software, we don't lock you into a platform, and we don't disappear after delivery. The output is your work running smoother, with fewer hours wasted on admin.

Whatever you already use. We work with the tools your team trusts: your CRM, your accounting software, your email, your spreadsheets, your project tool. We layer AI workflows on top using the right tool for the job — often a mix of large language models, lightweight scripts, and integrations like Zapier, Make, or n8n where they fit. We avoid moving your data anywhere new, and we never rip out something that already works.

How long does it take?

The audit is typically one to two weeks from our sit-down to the written report. First implementations usually land in two to six weeks, depending on the scope. We don't drag projects out.

What if my workflow is already complex or weird?

Most of them are. Custom is the default. We don't have a template product to sell you, which is why we start with a sit-down rather than a brochure.

What about my data and my clients' data?

We work inside the tools you already use, with your existing accounts and least-privilege permissions. We don't centralise your data anywhere new, and we don't share it. What if I only want to replace one specific process?

Do you work with accountants, agencies, law firms, consultants?

Yes. Small professional-services teams are most of who we work with, because the patterns repeat: invoice chasing, document collection, status updates, intake, weekly reporting. The specifics differ; the shape of the problem doesn't. If you're a 1–20 person team and your week has too much repetitive admin in it, we can probably help.

Where does our data live during and after a workflow runs?

Inside the tools you already use. We don't centralise client data or move it to a system we own. Each AI workflow reads from and writes to your existing stack (your CRM, your inbox, your accounting software) using your accounts and your permissions. If a workflow needs an external language model, we tell you which one and how that vendor handles the data. Full details on the trust page.

Are you GDPR compliant?

Yes. We're a UK consultancy and work to UK GDPR / Data Protection Act 2018 defaults. We document the lawful basis for any data a workflow processes, sign a DPA on request, and never train AI models on your data. The trust page covers the specifics.

What API permissions do you ask for?

Least privilege, always. For each tool a workflow needs to touch, we ask only for the permissions that workflow needs — never broader read or write than required. Every permission is named in writing before we connect anything, and you can revoke them at any time.

Who at Practical Workflows can see our data?

The senior consultant on your engagement, and nobody else. We don't have account managers, junior delivery staff, or an offshore build team. After delivery, our access is reduced to monitoring scope only — or removed entirely, if you prefer.

What happens if your team or ours changes?

Every AI workflow comes with a hand-off doc covering what it does, what it touches, how to switch it off, and how to change the credentials. If your team rotates, the workflow doesn't depend on the person who set it up. On our side, the consultant who builds your workflow is the same person on call for any future changes.

What won't you build?

We won't centralise your client list anywhere new. We won't train AI on your data. We won't connect a tool you haven't explicitly approved. We won't build anything we'd be uncomfortable showing a regulator. And if a process is the wrong fit for AI, we'll say so before we quote it — even if it costs us the engagement.
